How to Add a Watermark to a PDF (Draft, Confidential, Logo)

The short answer

To add a watermark to a PDF, upload it to a tool with a watermark feature, type your text (or upload a logo image), position it, and download. Online tools do this in a minute; Adobe Acrobat Pro and Mac’s Preview can also do it. The watermark can say Draft, Confidential, your company name, or whatever needs to be on every page.

Add a text watermark online

  1. Open the free PDF tools page and pick the watermark tool.
  2. Upload the PDF, type the watermark text, and set size, opacity, rotation, and position.
  3. Download — the watermark appears on every page (most tools do all pages by default).

Keep the opacity below 50% for a professional look. Full-strength black text across the page screams amateur hour.

Add a watermark on a Mac

Preview can do this free: open the PDF, click the markup toolbar, add a text box with your word, rotate it if you want, drag it where it looks right — then duplicate the box on every page. Duplicating page by page is tedious on long documents, which is why the online tool wins there.

The honest part

Three things worth knowing before you watermark:

  • Watermarks deter, they don’t protect. Anyone with basic PDF skills can remove most watermarks — the watermark is just another element on the page. If the goal is to stop content theft, watermarking is a speed bump, not a wall. Password protection and redaction are stronger tools for what you actually care about.
  • Image watermarks look better than text for branding — a logo at 20% opacity in a corner is the professional default. Most online tools accept PNG uploads.
  • Check the watermark on a sample page first. Some tools re-encode the whole PDF during watermarking, which can bloat or slightly blur the file. If the output looks off, try another tool before committing to the job.
