How to Redact a PDF (Black Boxes Aren't Redaction)
The short answer
Redacting a PDF means blacking out content so it can never be recovered — names, account numbers, anything sensitive. This is NOT the same as drawing a black box over text, which hides it visually but leaves the words underneath. Real redaction removes the content entirely. Free online tools can do basic redaction; paid ones (Adobe Acrobat Pro) do it properly on every page.
Why the black-box trick is dangerous
Here’s the honest, slightly scary part: PDFs can contain multiple layers of the same content. You black out a name, it looks gone on screen — but the text underneath is still in the file. Anyone can select it, copy it, or extract it. This is how documents leak. The classic example is government PDFs that get “redacted” with black rectangles and get scraped for the hidden text anyway.
Rule of thumb: if you can’t select it yourself after “redacting”, you haven’t redacted it — you’ve hidden it.
How to properly redact a PDF
- Use a tool with a real redaction feature — not an annotation tool. Adobe Acrobat Pro has one (Protect → Redact), and several online services do too.
- Mark the content to redact — the tool scans for text, names, patterns.
- Apply the redaction. The tool permanently removes the marked content, then flattens the file.
- Verify: open the result and try to search for the redacted words. If they’re gone from search, it worked.
If you’re on a Mac, there’s a halfway option: Preview’s redact tool (Tools → Redact) was added in recent macOS versions and does real removal, not a black box. Worth checking your version before you pay for anything.
The honest part
Redaction is a one-way door. There is no undo — once removed, the content is gone forever. So the professional workflow is: redact on a copy, verify it with a search, and only then consider the file safe to send.
And if the file is scanned (a photo of a document), redaction tools can’t reliably remove pixels underneath — you’re cropping or covering, which is weaker. For scanned files, the safe move is to redact the original source document before scanning.
